Planned Maintenance

PLANNED MAINTENANCE

Fix it before it breaks. Plan maintenance before it becomes an emergency.

Scheduled preventive maintenance for every asset on your register — filter changes, HVAC services, geyser checks, and more — managed before they become costly emergency callouts.

HOW IT WORKS

Planned maintenance that runs itself.

1

Assets are registered

Every asset gets a QR code and a service interval — monthly, quarterly, bi-annual, or annual depending on the asset type.

2

Schedule is set

The system builds a maintenance calendar automatically based on each asset’s service interval and last service date.

3

Jobs are created

When a service is due, a planned maintenance work order is created automatically and assigned to the right contractor.

4

Service is completed

The contractor completes the service, logs the outcome, and the asset record updates automatically. The next service date is set.

WHAT GETS SCHEDULED

Every service your building needs, planned in advance.

HVAC servicing

Air conditioning units and ventilation systems serviced on a bi-annual or annual cycle — before the hot season hits and demand is highest.

Filter changes

BIBO water filters, air filters, and other consumables changed on their correct cycle — stock ordered in advance so no unit is ever out of service.

Geyser and water heating

Annual element checks, thermostat tests, and pressure valve inspections — preventing the expensive failure of a neglected geyser.

Gate motors and access

Gate motor lubrication, access control battery checks, and electric fence energiser tests — scheduled before failures cause security gaps.

Fire equipment

Annual fire extinguisher inspections, smoke detector tests, and fire panel checks — keeping your building compliant and your occupants safe.

Pool maintenance

Regular chemical balancing, filter cleaning, and pump checks — keeping your pool safe, clean, and compliant year round.

Reactive maintenance always costs more.

Emergency callouts, after-hours rates, expedited parts, and business disruption — all avoidable with a planned maintenance schedule. Prevention is always cheaper than repair.

Reactive maintenance

  • ✕Emergency callout rates apply
  • ✕Parts ordered urgently at premium cost
  • ✕Business disruption while waiting for repair
  • ✕Asset lifespan shortened by neglect
  • ✕No documentation for compliance audits

Planned maintenance

  • ✓Fixed scheduled cost — no surprises
  • ✓Parts ordered in advance at standard cost
  • ✓Work completed at a planned, convenient time
  • ✓Asset lifespan extended through regular care
  • ✓Full service records for compliance audits
  • COMMON QUESTIONS

    Questions about planned maintenance.

Every asset in your register has a service interval set when it’s added to the system — monthly, quarterly, bi-annual, or annual. The system tracks the last service date and automatically creates a planned maintenance work order when the next service is due. You don’t need to track anything manually.

If a technician identifies a fault or failure during a planned service, it’s logged as a separate work order and handled through the normal fault resolution process. If the asset needs replacing beyond economical repair, we produce a Beyond-SLA report with replacement options and costs for your approval before any spend proceeds.

Yes — your planned maintenance schedule is visible in your client portal. You can see all upcoming services, their due dates, and the assigned contractor. Monthly SLA performance reports also include a summary of planned maintenance completed during that period.

Planned preventive maintenance scheduling is included in the Professional and Enterprise SLA plans. The Essential plan covers reactive maintenance only. If you’re on Essential and want to add planned maintenance, contact John to discuss upgrading your plan.
